1. Who I am

Captured by Hannah WM is the trading name of Fresh Eye Productions LTD, a limited company registered in England and Wales, company number 14726884.

Registered office: 124 City Road, London, EC1V 2NX. I operate from Christchurch, Dorset.

Fresh Eye Productions LTD is the data controller for the personal information described in this policy. That means I decide what information is collected and what happens to it, and I am responsible for looking after it.

You can contact me about anything in this policy at hello@hannahwm.com or 07909 853894.

2. What this policy covers

This policy explains what I do with personal information when you visit my website, make an enquiry, book me for a wedding or event, appear in photographs or video I take, or use a photo booth I supply.

3. The information I collect

When you enquire or book

Your name, email address, phone number, event date, venue or location, and whatever you choose to tell me about your plans. If you book, I will also hold your address, your booking and payment history, and our correspondence.

When you use the website

Standard analytics information such as your approximate location, browser type, device, the pages you look at and how you arrived. This is collected through Google Analytics and is not used to identify you personally.

Photographs and video

Images and footage of you, and of your guests, taken at your wedding, event or shoot. Photographs of identifiable people are personal information under data protection law, which is why they are covered here.

Information about accessibility and support needs

If you tell me that you, your partner or someone important to you on the day needs things to work differently, I will make a note of it so I can do my job properly. Some of this may count as health information, which the law treats as a special category of data and protects more strictly. I only ever record what you have chosen to tell me, I keep it to the minimum needed to deliver your day well, and I do not share it with anyone unless you ask me to.

Photo booth users

When guests use the Magic Mirror or Selfie Pod, their photographs are captured and uploaded to an online gallery for the event.

4. Why I use it, and my lawful basis

Data protection law requires me to have a lawful basis for using your information. These are mine.

What I use it for Lawful basis
Replying to your enquiry Legitimate interests: you have asked me to get in touch
Delivering the service you have booked Performance of a contract
Taking, editing and delivering photographs and video Performance of a contract with you; legitimate interests where guests are concerned
Taking payments and keeping accounts Legal obligation, and performance of a contract
Insurance and resolving disputes Legitimate interests
Showing my work on my website and social media Consent, which you can withdraw at any time
Recording accessibility or support needs Your explicit consent
Understanding how the website is used Legitimate interests

Where I rely on legitimate interests, I have considered whether my interest is fair to you and I have concluded it is. You can ask me to explain that reasoning, or object to it, at any time.

5. Using your photographs in my portfolio

I will only use images of you on my website, in my portfolio, on social media, in competition entries or in marketing if you have given me permission. That permission is asked for separately in your contract and you are free to say no. Saying no does not change anything about the service you receive.

If you have said yes and later change your mind, tell me and I will remove the images from anywhere I control. I cannot always remove images that other people have already shared or reposted, and I will be honest with you about that.

Children. I do not publish photographs showing the faces of children on my website or in my marketing. If a child appears in an image I want to use, I will either not use it or use a version in which they are not identifiable.

Guests. Your guests have not signed a contract with me. If a guest at your wedding or event asks me to remove or not use a photograph of them, I will do so.

6. Photo booths at school proms and events involving under-18s

Where I supply a photo booth for a school prom, leavers' event or any event where people under 18 will be photographed, the school or organiser is responsible for obtaining consent from students and parents. I hold an enhanced DBS check and I attend throughout.

Photo booth images from these events are supplied to the organiser through a private gallery. I do not publish images of under-18s from these events in my marketing.

7. Who I share information with

I do not sell your information, and I never share it for anyone else's marketing.

I use the following services to run my business. Each holds some of your information and each has its own privacy policy.

Showit and WordPress for the website and blog
Studio Ninja for enquiries, contracts, invoices and client records
Pic-Time for photo galleries
Vimeo for video hosting
Google Analytics for website statistics
Klarna, where you choose to pay that way
My accountant, and HMRC, for tax and accounting
My insurers, if a claim or dispute arises
Second shooters or associate suppliers, where your booking includes them and only to the extent needed to do the job

I may also disclose information where I am legally required to.

8. Where your information is held

Most of these services store data in the UK or the European Economic Area. Some, including Google and Vimeo, may transfer data to the United States or elsewhere. Where that happens, the transfer is covered by safeguards approved under UK data protection law, such as the UK International Data Transfer Agreement or an adequacy decision.

9. How long I keep it
Enquiries that do not become bookings: up to 2 years, then deleted.
Client contracts, invoices and accounting records: 7 years, as required for tax purposes.
Client correspondence: 7 years, alongside the contract.
Photographs and video of your wedding or event: your online gallery stays available for at least 12 months. I keep my own archive copy of the edited images indefinitely, because couples frequently come back years later having lost theirs. If you would rather I did not, tell me and I will delete my copy.
Accessibility and support notes: deleted once your work is delivered, unless you ask me to keep them for future bookings.
Photo booth galleries: 12 months from the event.
Website analytics: 14 months.
10. Your rights

Under UK data protection law you have the right to:

be told how your information is used, which is what this policy is for
access the personal information I hold about you
have it corrected if it is wrong
have it deleted, where there is no good reason for me to keep it
restrict how I use it while a concern is looked into
object to my using it where I rely on legitimate interests
portability, meaning a copy in a machine-readable format in some circumstances
withdraw consent at any time, where I rely on consent

To exercise any of these, email hello@hannahwm.com. I will respond within one month. I am required to make reasonable and proportionate searches to find your information, and I may ask you to confirm who you are first.

There is no charge for any of this.

11. Complaints

If you are unhappy with how I have handled your information, please tell me first at hello@hannahwm.com. I will acknowledge your complaint within 30 days and respond as quickly as I can.

If you are still unhappy, you have the right to complain to the Information Commissioner's Office, the UK's data protection regulator.

12. Cookies

My website uses cookies. Some are strictly necessary for the site to work, and some are used for statistics so I can see which pages are useful. Under current UK rules, cookies that are strictly necessary or used only for low-risk statistical purposes do not require your consent. Anything else does, and you will be asked.

You can block or delete cookies through your browser settings. Doing so may stop parts of the site working properly.

Third-party services embedded in my site, including Vimeo video and any booking or payment widgets, may set their own cookies when you interact with them.

13. Keeping it safe

I use password-protected devices and accounts, two-factor authentication where it is offered, encrypted backups, and reputable suppliers who are themselves subject to data protection law. No system is completely secure, but I take this seriously and I will tell you and the ICO promptly if there is a breach that puts your rights at risk.

14. Changes to this policy

I will update this page when anything changes and update the date at the top. If a change materially affects how I use your information, I will tell you directly.
